Patient Accounting System Knowledge
Our management team has extensive experience with a number of information systems including

Data Transfer
We have worked with our clients to move from paper to electronic transfer of data. We do receive our assignments electronically. There are several formats that we can more efficiently upload which minimizes the time required to begin a new project.

Connectivity Capabilities
If the client requires immediate services, we can establish dial-up connections to the facility.s patient accounting system. The collectors can enter their notes directly on the client system and use it for scheduling account follow-up.

We utilize T1 technology for system to system connectivity. This increases communication speed, making our staff more efficient. We also have DSL connection as backup to the T1. If both the T1 and DSL fail, all our computers have high-speed modems, allowing us to dial in if needed.

Electronic Files and Reports
An electronic file of account comments can be created; however, custom programming will be required for the information system used by the client.

Text files of assignment acknowledgements, cancellations and reactivated accounts can be e-mailed as frequently as required.

HIPPA Compliance
Transactions are protected and secured by Firewall, Virtual Private Network (VPN) and Secure Certification with strong (128-bit) encryption. In addition, we train our staff on all aspects of HIPPA privacy issues. We also utilized an on-site shredding service to destroy medical record and patient financial information.

Billing Functionality
With our billing system we can generate UB-92 and HCFA-1500 forms. This system is HIPPA compliant and has payer specific edits to ensure that we submit .clean claims.. We do have the capability to electronically bill but it may require several weeks for the intermediaries to process the necessary paperwork and test the output file unless we can use the client.s electronic identifier. Until this testing is completed we can send paper claims to payers.

Cancelled Accounts
As accounts are determined to be uncollectible, they are reclassified to a cancel back status that returns the account to the facility. The status codes can be custom designed to meet the needs of the individual hospitals and include the recommended next step.

Reporting
XTRA Department.s collection system provides management reports that list assigned receivables, recoveries and adjustment.

At month-end, we provide listing of assigned accounts, canceled back accounts and reactivated accounts. If additional management reports are required, they can be developed and added to the month-end information package.

We are always available to meet with our client to discuss project status or changes in collection strategies.

Remittance Processing
Unless otherwise specified by the client, payments are directed to the client or facility lockbox to ensure correct posting of remittances.
